Overseas access and processing
alongside works with Philippines-based professionals as part of delivering its services. This means personal information may sometimes be accessed, processed or stored in the Philippines.
Where we handle personal information outside New Zealand, we will take reasonable steps to ensure that it is protected in a way that is consistent with applicable New Zealand privacy requirements and the applicable privacy laws of the Philippines, including the Philippines’ Data Privacy Act of 2012 and its implementing rules.

Use appropriate security measures and follow Alongside’s data-handling requirements.

Not share, copy, retain or use client information for any unrelated purpose.

Return, securely delete or stop accessing information when their role or engagement ends.
Where appropriate, these obligations will be recorded in employment, contractor, confidentiality, data-processing or client-service agreements.
If we need an individual’s authorisation for an overseas disclosure, we will explain the proposed disclosure before it occurs and obtain the required permission.
Client information and customer data
Where alongside performs work for a client, we may handle personal information about that client’s customers, leads, suppliers or staff. We will only process that information to provide the agreed services, in accordance with the client’s documented instructions, our contractual obligations, applicable New Zealand privacy requirements and the applicable privacy laws of the Philippines.
For work involving Philippines-based team members, the client remains responsible for the personal information it controls and for ensuring it has a lawful basis to provide that information for the agreed services. Alongside will act only within the agreed scope of work and will require authorised team members to follow confidentiality, access-control and security requirements.
Alongside will take reasonable steps to ensure that people working through us only access the information they need for the agreed work. We expect them to keep information confidential, follow agreed security procedures and not use client information for their own purposes.

Where they process personal information on behalf of a client, they must use it only for the agreed purpose and follow the security, access and incident-reporting requirements that apply to the service.
No method of sending information over the internet or storing it electronically is completely secure. If we become aware of a privacy breach that is likely to cause serious harm, we will take the steps required by applicable law, including notifying affected people and the relevant privacy regulator where necessary.
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected, including to respond to an enquiry, provide services, meet legal or accounting obligations and resolve any concerns or disputes.
When personal information is no longer required, we will securely delete it or anonymise it where appropriate.
The exact retention period may vary depending on the type of information, the service provided and our legal obligations.
